PedsOne Company Meeting

Housekeeping:                             

Please print this document and keep it handy: It has all contact info and instructions should you have any technical issues


For connectivity issues: If you are unable to use Google Chat, please text Lynn 415-724-7297.  If you are unable to text, please call her direct line: 802-654-1631


Before you log in: Please reboot your computer. This frees up memory, which helps with performance and prevents ‘lag’ - if you have several Google tabs open, close all except the meeting tab. additional tab for Google Chat to contact Lynn for IT issues. Please refrain from ‘side chats’ during presentations


Please plan ahead: Log in at least 15 mins early to test your sound & video. Make sure that your video is clear, bright and centered

All Times Listed Are EASTERN Standard Time and the agenda subject to updates

The meeting starts PROMPTLY at 10:30a EST Tuesday morning


Breaks are 15 minutes and on your own: Please refer to your agenda for times. Please take bio breaks if you need them. Mute your mic and turn off your camera until you get back to your desk

Dress Code: PedsOne Wear or Business Casual

Phones: Please be sure that your desk phones are set to DND and your cell phones are on silent mode, or better yet, turned off

Email & Chat: Please remember to set your away message for your email and voicemail, and mute all of your notifications. The in meeting chat feature will be on during the meeting. This can be used if you have a question or important comment, but please limit side conversations to urgent items. Refrain from ‘side chats’ on your Google Chat app also, as they are distracting for everyone. Click here for instructions to mute desktop notifications

How to Use Chat in the Google Meet:

  • Once you have logged into the meeting, click the chat 

‘bubble’ on the bottom right of your screen to open the chat 

  • Feel free to post questions in the Meeting Chat, 

and the Chat Moderators will filter them to Q&A following

each presentation. 

  • Emojis: Emojis are encouraged, but please don’t spam 

the chat and limit yourself to one emoji at a time.

BREAKOUT ROOMS: (reminder of how it happens)

TED TalkYou will have 20 minutes to participate in your breakout room discussion.  When you come back to the main room each breakout room representative will have two and a half minutes to share.

Billing Roundtables: On your calendar invite, click each 30 minute session to join your next roundtable.  You will be prompted ahead of time that the session will be closing and once you join your next session you will be prompted to join your roundtable. Your moderator will ask to record or transcribe your sessions to be shared with the organization.

Escape Room: There are 4 escape room groups.  Click on your calendar invite to join your group. 

Please join the main meeting once completed.

THE COMPANY WIDE MEETING ENDS Wednesday at 5pm EST.  


Troubleshooting and things to be aware of:

  • Before you log in - please reboot your computer. This frees up memory, which helps with performance and prevents ‘lag’ - if you have several Google tabs open, close all except the meeting tab.

  • Please plan ahead - log in at least 15 minutes early to test your sound and video. 

  • Potential glitches with logging in - Reports of freezing when trying to log in to the meeting.

Sometimes you have to log all the way out and log back in. You MAY need to reboot (again).

  • If you have technical issues and cannot connect to anyone or get through to anyone, please text Lynn 415-724-7297. If you are unable to text, please call her direct line: 802-654-1631

  • Remember to mute/unmute as necessary. Please be mindful of your microphone. In the presentation sections, PLEASE mute your microphones, click the microphone icon at the bottom of your screen until it turns red.

  • When you join a breakout room, you will need to unmute to participate in the discussions.

  • When you leave a breakout room, you will need to turn your camera back on in the general session.
